Double D Solutions Freight Claim Process
At Double D Solutions, we understand that freight claims can be stressful, and we’re here to help guide you through the process. Below is an overview of the steps, timelines, and guidelines to make filing a claim as easy as possible.
Step 1: Identify the Issue
If your shipment arrives with visible damage, missing items, or other issues, it's important to note the problem right away. Here's what to look out for:
- Shortage: If items are missing from your shipment.
- Damage: If the goods are visibly damaged upon delivery.
- Concealed Damage: If damage is discovered after the packaging is opened.
- Loss: If the entire shipment is missing or undelivered.
Step 2: Notify Us and Document the Issue
Once you identify an issue, please make sure to:
- Mark the delivery receipt: Clearly note any visible damage or shortage on the Bill of Lading or delivery receipt when you sign it. This is critical for the claims process.
- Take photos: If possible, take pictures of any damage as soon as the shipment arrives.
If the damage is concealed (found after delivery), please notify us as soon as you discover it.
Step 3: File Your Claim
We are happy to assist you with filing a freight claim. Claims need to be submitted within specific timeframes to ensure they are valid. Below are the timelines to keep in mind:
- Visible Damage or Shortage: Must be reported immediately upon delivery and the claim filed within 9 months of delivery.
- Concealed Damage: If you discover damage after delivery (without any visible signs on the package), you have 5 days to notify us and begin the claim process.
- Lost Freight: If your shipment never arrives, a claim can be filed within 9 months from the expected delivery date.
To file your claim, please send the following information to [email protected] :
- Bill of Lading (BOL)
- Delivery receipt (noting damage or shortage, if applicable)
- Photos of the damage (if any)
- Invoice for the goods (showing the value)
- Freight bill (if freight charges were prepaid)
Along with Providing this information, we also request you complete the following claim form, link below;
Step 4: Claim Resolution
Once your claim is submitted, we will work with the carrier to resolve it. Here’s what you can expect:
- Acknowledgment: We will acknowledge receipt of your claim within 30 days.
- Resolution: Carriers are required to resolve claims within 120 days. If additional time is needed, we will keep you updated on the status.
Limitations and Liability
Please note that carriers are generally liable for the actual loss or damage to goods, but there are some limitations:
- Released Value: In some cases, carriers may only be liable for a limited amount based on the shipment value unless additional insurance was purchased.
- Freight Charges: If the freight charges were not prepaid, the claim may not be processed until these charges are settled.
